Apple: Governed AI Access for Enterprise Airtable
About the project
The client
Apple's Environmental Technologies group, running 25+ connected Airtable applications for roughly 300 to 400 stakeholders.
The challenge
AI assistants can read and write any Airtable base a user's login can reach. For an enterprise team, that is not acceptable. The business needed the same AI capability, but only on bases it had explicitly approved, with read-only protection for its most sensitive data.
The architecture we designed
- Governed AI gateway: a policy layer in front of the AI integration, so every request is checked before it reaches a base.
- Per-user OAuth only: no shared API keys, so every action is tied to a named person.
- Airtable as the control plane: approved bases, user entitlements, and read-only or read-write access are managed as Airtable records, so admins change policy with no code and no redeploy.
- Fail-closed by design: if the policy source is unreachable, access is denied rather than silently allowed.
- Two independent boundaries: a request must pass both the user's own Airtable grant and the organization's approval policy.
- Built-in audit trail: approver, approval date, and last activity are recorded automatically.
- Self-service growth path: teams request access to additional bases through a central approval queue.
Why it matters
Enterprises can adopt AI on their operational data with the controls their security teams require, without slowing teams down.
